A premier Baltimore law firm, is seeking a Conflicts/New Business Intake Specialist to join the Risk Management Department. This role will coordinate the day to day activities essential to new business intake including assisting with daily supervision of incoming workflow requests, conflicts database checking, corporate structure and financial research, identification of potential conflicts and shepherding the process of conflicts clearance in a collaborative manner

This position is eligible to participate in the firm’s flexible work program.

Compensation Range: $45k-$65k

RESPONSIBILITIES/ESSENTIAL FUNCTIONS:

• Provides quality control assurance relating to: conflict checking, new client/matter intake submissions, intake record documentation, and ensures timely processing of same in compliance with established department procedures

• Assists Senior Conflicts/New Business Intake Manager with prioritization, management and daily supervision all new business intake form processing, including appropriate distribution among the Conflicts staff

• Takes a leadership role in handling more difficult and complex incoming requests and supporting the Senior Conflicts/New Business Intake Manager with overflow research or other nuanced assignments stemming from challenging conflicts analysis and issues

• Facilitates communication concerning key risks, emerging conflict topics and related technical issues at Conflicts staff meetings and makes presentations outlining findings

• Performs periodic review of shared Conflicts team resources, such as the master Conflict Notifications template and Party Position Matrix to make additions and substantive adjustments as needed

• Updates and maintains Federal and State Entity Representations, Alter Ego Past Efforts, and Client Mergers & Acquisitions spreadsheet resources for Conflicts team use

• Conducts research on corporate names, corporate party identities, corporate affiliations, and corporate transactional history and summarizes findings for applicability to conflict checks and finalizing party information on new/client matter submissions

• Performs due diligence review of new business intake requests for accuracy and completeness; spots and resolves errors, omissions and other ambiguities; collaborates directly with attorneys to achieve well-reasoned determinations

• Assists Senior Conflicts/New Business Intake Manager with operational oversight and maintenance of the conflicts database and new business intake workflow system; assists with facilitating resolution of technical issues with existing systems, system replacements and technical upgrades; acts as co-administrator of conflicts database and new business intake workflow system

• Identifies potential risks associated with conflicts database and new business intake workflow systems including analyzing data, observing key functional processes, recommending solutions, and informing Conflicts staff of remediation efforts

• Develops formal training documentation and materials for Conflicts team in connection with technology upgrades and other advancements

• Consults with attorneys to finalize conflicts clearances and actively follows up with attorneys on all outstanding questions and other items related to unresolved conflict checks and pending new client/matter intake submissions

• Performs conflicts checks and maintains Attorney Hire spreadsheet for onboarding potential new attorney and professional staff hires

• Assists Senior Conflicts/New Business Intake Manager and Director of Risk Management with attorney outreach relating to potential prior work conflicts associated with new hires

• Supports Senior Conflicts/New Business Intake Manager with preparation and distribution of Daily and Weekly New Client/Matter reports; also assists with coordination of new business development opportunity reporting and other administrative recordkeeping for Wiley Rein’s subsidiary

• Provides new business intake orientation to new department hires and provides periodic training to others when necessary due to significant changes and periodic process improvements

• Responsible for providing additional administrative support to carry out risk management functions related to client quality, comprehensive recordkeeping, client and matter maintenance throughout lifecycles and related firm policies and procedures

• Performs other duties as assigned
