Proposal Writer Job Responsibilities:
Prepares proposals by determining concept; gathering and formatting information; writing drafts; obtaining approvals. The proposal writer is chiefly responsible for the development of customized proposals to prospective clients. The proposal writer must comprehend all key products and services such that a thorough and technically correct proposal can be created. The proposal writer is the focal point for collection of RFP materials and proposal content from internal and external sources. This individual works as a member of the marketing team to respond to RFPs, develop presentations, and other materials to help win new business; and, actively participates in the development of proposal strategy, related research, and proposal writing and production.
Proposal Writer Job Duties:
Determines proposal concept by identifying and clarifying opportunities and needs; studying requests for proposal (RFPs); attending strategy meetings, etc.
Meets proposal deadline by establishing priorities and target dates for information gathering, writing, review, and approval; entering and monitoring tracking data; coordinating requirements with contributors; and transmitting proposals.
Gathers proposal information by identifying sources of information; coordinating submissions and responses; identifying and communicating key issues associated with proposals.
Understand typical proposal requirements, including methods of submitting documents, production timeframes, potential problems, production parameters, etc.
Develops proposal by assembling information including project nature, objectives and deliverables, strategy, methods, timetable, staffing, budget, standards of performance. Evaluates, writes, revises and edits drafts including executive summaries, conclusions, and organization credentials.
Creatively explain ideas in a way that will be appealing.
Prepares presentations by creating text, graphics, and coordinating production and binding.
Maintains quality results by using templates; creating Q&A databases; following proposal-writing standards including readability, consistency, and tone.
Obtains approvals by reviewing proposal with key personnel.
Improves proposal-writing results by evaluating and re-designing processes, approach, coordination and developing a databank of questions, answers and other standard proposal requirements.
Manages version control and keeps company document files current, up-to-date and organized.
Updates job knowledge by participating in educational opportunities; maintaining personal networks.
Establishes production relationships with colleagues at all levels of the organization and with outside contacts.
Proposal Writer Skills and Qualifications:
Mastery of Written & Verbal Communication, Graphic Design and Layout , Technical Documentation, , Problem Solving, Deadline-Oriented, Process Improvement, Coordination, Strategic Planning, Market Knowledge.
Ability to use problem solving skills to schedule, organize and prioritize multiple takss and deadlines.
Excellent understanding and management of company standards related to branding, graphics, logo usage, etc.
Bachelor's degree in English, Journalism, or related major. Strong ability to grasp concepts and understand RFP/RFQ requirements. Experience leading cross functional teams. Established and demonstrated strong organization and administrative skills.
Minimum Experience Level:
At least three years related experience writing and editing proposals or other sales communications or similar role, or equivalent combination of education and experience. Employee benefits background is preferred.
